OPEN SERIES RULES & POLICIES
The TSR Open Series is designed to make competitive golf more flexible. Players compete individually, complete each week's assigned round on their own schedule, and follow the same standardized competition settings throughout the event.
By registering for an Open Series event, participants agree to the following Rules & Policies.
1. ELIGIBILITY & REGISTRATION
The Open Series is open to golfers of all skill levels. Participants must be at least 18 years old as of the first day of Open Series play for that season.
Each participant must register individually and provide accurate contact information. Registration does not guarantee entry until any applicable minimum field has been reached and payment has been received.
All participants must have an active TrackMan account. Players are responsible for ensuring they are logged into the correct TrackMan profile before beginning every competition round. Rounds played without the participant logged into the correct TrackMan account may not be eligible for scoring.
The Swing Refinery reserves the right to establish minimum participation requirements or close registration when operationally necessary.
2. ENTRY FEE & PAYMENT
Entry fees, registration deadlines, and payment deadlines are listed on the webpage for each seasonal Open.
No payment is required at initial registration unless otherwise stated. Once the minimum field has been reached, registered players will receive a secure payment link.
Payment must be completed by the payment deadline communicated for that Open. A player's entry is officially confirmed only after payment has been received.
Failure to submit payment by the stated deadline may result in forfeiture of the player's spot.
3. COMPETITION FORMAT
Each Open Series event consists of a series of designated 9-hole TrackMan rounds.
The specific number of competition weeks, number of scoring rounds, event dates, scoring format, and prize structure will be published on the webpage for each seasonal Open.
Players compete individually. When an event uses a best-of scoring structure, only the designated number of best eligible scores will count toward the player's final standing.
Each competition week runs Monday through Sunday. Competition rounds must be completed during their designated week except as permitted under the Make-Up Round policy below.
4. TRACKMAN HANDICAP
The Open Series uses a TrackMan-based handicap to create competitive net scoring across skill levels.
Each player's Open Series handicap will be established from the 9-hole competition round completed during Week 1.
To establish a handicap, the player must complete the full assigned 9-hole round during the first week of play while logged into their correct TrackMan account and using the required Open Series course and competition settings.
A partially completed Week 1 round does not establish an official Open Series handicap.
Once the Week 1 round has been completed and recorded in TrackMan, that handicap will be used for the remaining scoring weeks in accordance with the competition settings established for that Open.
The Swing Refinery reserves the right to review unusual or materially inconsistent handicap or scoring results and make adjustments when reasonably necessary to preserve fair competition.
5. WEEKLY COMPETITION ROUNDS
Participants receive one 60-minute bay reservation per competition week to complete that week's assigned 9-hole competition round. The 60-minute reservation is included as part of the Open Series entry fee.
Each weekly competition round is released on Monday and must be completed by the end of Sunday. Competition rounds may not be played outside their designated competition week except as permitted under the Make-Up Round policy.
Players may schedule their included 60-minute reservation at any available eligible booking time during that competition week, subject to the 5-day advance booking window and Prime Time Exclusions outlined below.
Players are responsible for scheduling their reservation and completing their assigned round before the weekly deadline. Bay availability is not guaranteed, and players are encouraged to book early, particularly for evenings and weekends.
Unused weekly competition reservations do not automatically carry forward into future weeks except as permitted under the Make-Up Round policy.
6. BOOKING WINDOW
Open Series participants may book their included competition reservation up to 5 days in advance.
Participation in the Open Series does not otherwise extend a player's normal booking privileges.
Players who separately hold a TSR membership with a longer advance-booking window retain the booking privileges associated with that membership.
Non-member participants receive 24/7 facility access solely for their included Open Series competition reservations. Participation does not extend 24/7 access to additional regular bay reservations.
All reservations remain subject to bay availability.
7. PRIME TIME EXCLUSIONS
To preserve high-demand bay availability while keeping the Open Series flexible throughout the rest of the week, Open Series competition reservations may not be booked during the following times:
Fridays: 6:00 PM–midnight
Saturdays: 10:00 AM–midnight
Open Series competition reservations may be booked at any other available eligible time during the competition week.
These restrictions apply specifically to the 60-minute bay reservation included with Open Series participation. Players may still reserve and pay for regular bay time during Prime Time Exclusions under TSR's normal booking policies; however, the included Open Series reservation may not be used during these periods.
8. COURSE & SIMULATOR SETUP
Each week will feature a designated TrackMan course and 9-hole routing. All players will compete on the same assigned course and same nine holes—front or back—for that competition week.
Tee selection is based on each player's TrackMan profile settings and is standardized to maintain fair and consistent competition.
Unless otherwise communicated for a specific Open, standard competition conditions are:

Players may not intentionally modify the designated course, routing, tees, competition conditions, scoring parameters, or other required settings.
The assigned course and settings will be communicated to players and/or configured within TrackMan before play.
9. STARTING & COMPLETING A COMPETITION ROUND
Before beginning play, players are responsible for confirming that they are:

Participating in the designated Open Series competition
Players have 60 minutes to complete their assigned 9-hole competition round. Players should begin their round promptly and are responsible for maintaining an appropriate pace of play within the allotted time.
Additional time is not included with the Open Series reservation. If a player wishes to continue beyond the included 60 minutes, additional bay time may be purchased at the applicable rate only if the bay is available immediately following the reservation. Additional time is not guaranteed.
If a player is unable to complete the assigned 9 holes within the available reservation time, unfinished holes will be handled according to the scoring rules established for that Open.
10. SCORING & STANDINGS
Official scores are recorded through TrackMan and calculated according to the scoring format established for each Open.
Players are responsible for ensuring their competition round is properly recorded before leaving the simulator.
The Swing Refinery will maintain the official competition standings. In the event of a discrepancy between a player's personal record and the official TrackMan competition data, TSR will review the available information and determine the official result.
The Swing Refinery's determination of competition scores and standings is final.
11. TECHNICAL ISSUES
If a TrackMan simulator, bay, or TSR-controlled system experiences a technical issue that materially affects a competition round, participants should contact The Swing Refinery as soon as the issue occurs so we have an opportunity to troubleshoot or document the problem.
Players should not independently restart, replay, or recreate a competition round because of a technical issue unless instructed to do so by TSR.
When a verified TSR equipment or system issue prevents completion of a round, The Swing Refinery may authorize additional time, continuation of the round, a replay, or another reasonable remedy.
Issues caused by player error—including failure to log into TrackMan, selecting an incorrect profile or course, changing required settings, or failing to reserve adequate time—generally do not qualify for a replay.
12. INTEGRITY & FAIR PLAY
The Open Series depends on players competing honestly and under consistent conditions.
Players may not intentionally manipulate TrackMan profiles or handicaps, tees or course settings, competition settings, scores or recorded shots, mulligans or shot replays, or any other element intended to create an unfair competitive advantage.
Only shots permitted under the official competition configuration may be used.
The Swing Refinery reserves the right to review unusual scoring activity or suspected rule violations. Scores may be adjusted or disqualified when necessary to protect the integrity of the competition.
Repeated or intentional violations may result in removal from the Open Series without refund.
13. PLAYING WITH OTHERS
Open Series participants are welcome to complete their rounds alongside other Open Series players when bay capacity and the applicable competition setup allow.
Each participant remains responsible for completing and recording their own official competition round.
Players may not manipulate another player's TrackMan profile, settings, or score or provide assistance that violates the competition format.
14. MISSED ROUNDS, MAKE-UPS & RESCHEDULING
Each weekly competition round must be completed during its assigned Monday–Sunday competition week.
Players may reschedule their bay reservation within that same competition week when another eligible booking time is available.
Each participant is permitted one approved make-up round per Open Series event.
To request a make-up round, the player must contact swingteam@theswingrefinery.com before the missed competition week ends or no later than the start of the following competition week. Make-up rounds are subject to approval and bay availability.
Unused weekly rounds do not automatically carry forward, and a missed round beyond the one approved make-up opportunity will remain a missed round.
If the event uses a best-of scoring structure, missed rounds simply reduce the number of available scores from which a player's final standing can be calculated.
Standard TSR booking cancellation policies continue to apply to all bay reservations.
15. REFUNDS & WITHDRAWALS
Players who have paid their entry fee may withdraw for a 100% refund through the registration deadline published for that Open.
After registration closes and through the published payment deadline, cancellations are eligible for a 50% refund.
After the payment deadline, entry fees are non-refundable.
As an additional safeguard, a participant who cancels within 48 hours of submitting payment is eligible for a full refund, even if that 48-hour period extends beyond the standard refund deadline. This exception ends once competition begins; once the Open has started, entry fees are non-refundable regardless of when payment was submitted.
Failure to complete some or all competition rounds does not entitle a participant to a full or partial refund.
If The Swing Refinery cancels an Open Series event, affected participants will receive a full refund of their entry fee.
16. PRIZE POOL & AWARDS
The prize structure for each seasonal Open will be published on that event's webpage.
Prize pools may vary by event and will be based in part on the number of paid participants.
Players must remain in good standing and satisfy the applicable competition requirements to be eligible for prizes.
Ties will be resolved using the published competition tiebreaking procedure or, if no procedure has been published, a reasonable method determined by The Swing Refinery.
Prize determinations and final standings become official following TSR's review of the completed competition.
17. FACILITY RULES & CONDUCT
All standard Swing Refinery facility policies apply during Open Series play.
Participants are expected to respect the facility, equipment, and other guests; follow posted simulator and safety rules; leave the bay ready for the next golfer; begin and end reservations on time; and conduct themselves in a manner consistent with friendly, fair competition.
Players are responsible for their guests and for any damage caused through misuse or failure to follow facility rules.
Serious or repeated misconduct may result in removal from the competition and/or facility access without refund.
18. RULES ADMINISTRATION
The Swing Refinery reserves the right to interpret these Rules & Policies, resolve circumstances not specifically addressed here, correct administrative or scoring errors, and make reasonable adjustments necessary to preserve fair competition or respond to circumstances beyond TSR's control.
Material competition changes will be communicated to affected participants whenever reasonably possible.
By registering and participating in the Open Series, players acknowledge and agree to these Rules & Policies.
FAQs
Do I need to be a member of The Swing Refinery? No. The Winter Open is open to members and non-members of The Swing Refinery. Golfers of all skill levels are welcome.
Do I need to play well to compete? Not at all. The Winter Open uses TrackMan handicaps and net scoring to create a competitive field across skill levels. Week 1 establishes your handicap, so you don't need an existing handicap to enter. There is also a Low Gross prize for the lowest score without handicap adjustment.
When can I play my weekly round? Each competition week runs Monday through Sunday, and Open Series participants receive 24/7 facility access specifically to complete their weekly competition round. You do not need to be a TSR member to play your Open Series round outside of regular visitor hours. You can book your included 60-minute competition reservation up to 5 days in advance, subject to bay availability and the Open Series prime-time exclusions: Fridays from 6:00 PM–midnight and Saturdays from 10:00 AM–midnight. For non-members, 24/7 access applies only to the included Open Series competition reservation. Any additional bay time must be booked during regular visitor booking hours and is subject to standard visitor rates and availability.
What if I'm already a TSR member? Your existing membership benefits still apply. If your membership includes a longer advance booking window, you retain that booking privilege. Your weekly 60-minute Open Series reservation is separate from your membership hours, so participating in The Winter Open does not use your regular membership time.
What if I miss a week? We built some flexibility into the format. Only your best 7 of 9 scoring rounds count toward the final standings, so one missed or off week doesn't necessarily hurt your season. Each player may also request one approved make-up round during The Winter Open. Make-ups are subject to the Rules & Policies and bay availability.
How does the handicap work? Week 1 is your handicap-establishment round. Complete the assigned 9 holes while logged into your TrackMan account, and that round will establish the TrackMan handicap used for The Winter Open. Beginning in Week 2, your official scoring rounds begin. No existing handicap is required to participate.
What does my $300 entry include? Your Winter Open entry includes: - 10 weeks of competition - One 60-minute bay reservation each week - Week 1 handicap-establishment round - 9 official scoring rounds - TrackMan competition and standings - Eligibility for season-end prizes - Invitation to the Open Series year-end celebration
Do unused rounds carry over? No. Competition rounds are released weekly and must be completed during the designated competition period. Unused rounds do not automatically carry forward.
What happens after I register? There's no payment required when you submit your registration. Once we reach the minimum field of 10 players, we'll confirm that The Winter Open is on and send registered players a secure payment link. Your spot is officially confirmed once payment is received. If we reach the minimum field before registration closes, confirmation and payment information may be sent early.
