LEAGUE DETAILS
League Rules & Policies
These rules and policies cover the details of league play—from team structure and scoring to handicaps, substitutions, pace of play and the season-ending celebration. Please review them before registering so you know what to expect throughout the season.
The Swing Refinery reserves the right to make reasonable adjustments to league rules when necessary to preserve fair play, competitive balance, and a positive experience for all participants.

1. Team Structure
Each team consists of two registered players. Team eligibility is based on the league entered:
-
Men's League: Two male players
-
Women's League: Two female players
-
Mixed League: Any two-player combination
One player registers as the team captain and provides their teammate's information during registration. The teammate must confirm their participation before the team's registration is considered complete.
Teams compete and register as a single team for the duration of the season, subject to the substitution and roster-change policies below.
2. Minimum Age
Participants must be at least 16 years old as of the first day of league play. Participants under age 18 must have a parent or legal guardian complete all required waivers and consent forms before participating.
3. League Format
The league consists of:
-
1 Handicap Week
-
9 weeks of league competition
-
1 season-end Party Week
League play uses a Best Ball format with Stableford scoring, with 9 holes played each competitive week.
Handicap Week is used to establish or verify TrackMan handicaps for each registered player. Subsequent weeks use those handicaps for team competition.
4. Schedule
League play begins the week of September 28, 2026
The full season runs for 11 weeks: one Handicap Week, nine competitive weeks, and one Party Week.
League schedules and other season-specific details will be communicated to registered players before league play begins.
5. Trackman Accounts & Handicaps
All registered players must have an active TrackMan account and must be logged into their individual TrackMan profile during Handicap Week and each week of league play.
Players are responsible for confirming that they are properly logged in before beginning their round. TrackMan is used to record league scores, maintain player handicaps, and track league results. Scores played while a participant is not properly logged into their TrackMan account may not be recorded and may not count toward league scoring.
Each registered player must participate in Handicap Week. Scores recorded during Handicap Week will be used to establish or verify the player's TrackMan handicap.
Substitutes are not permitted during Handicap Week.
If a registered player is unable to complete Handicap Week, The Swing Refinery will determine how that player's handicap will be established before competitive play begins.
6. Missed Weeks
If a registered player cannot participate during a competitive league week, the team may use an eligible substitute in accordance with the Substitute & Roster Change Policy below.
If only one registered player is able to play and no substitute is used, only that player's score will count toward the team's Stableford points.
If neither registered player participates and the team is unable to field an eligible substitute, the team will receive no points for that week.
Missed rounds cannot be made up. Missed league weeks are not eligible for refunds or credits.
7. Weekly Substitutes
Each registered player may use a substitute for a maximum of two competitive league weeks per season.
Substitutes:
-
May only be used during the nine weeks of competitive league play.
-
Are not permitted during Handicap Week.
-
May be the same person for both permitted substitute appearances.
-
Must meet the eligibility requirements of the league in which the team is registered.
-
Must meet the league's minimum age requirement.
-
Must have a TrackMan account and be logged into their individual TrackMan profile before beginning the league round.
-
Must have an established Trackman handicap prior to participating in league play. If a substitute does not already have an established Trackman handicap, they must complete The Swing Refinery’s applicable handicap-establishment procedure before participating as a substitute.
-
Must follow all league rules, scoring procedures, and sportsmanship expectations.
-
May not be a registered player on another team in the same league.
At least one registered member of the team must participate in each league round. A team may not field two substitutes during the same week.
Once a registered player has used their two permitted substitute weeks, additional absences will be handled under the Missed Weeks policy. Additional weekly substitutes will not be permitted.
The Swing Refinery reserves the right to deny a substitute if the substitution could create an unfair competitive advantage or otherwise compromise the integrity of league play.
8. Permanent Roster Changes
If a registered player is unable to continue participating in the league, the remaining player may request a permanent roster replacement rather than withdrawing the team.
Each team is permitted a maximum of one permanent roster replacement per season, subject to approval by The Swing Refinery.
Permanent roster replacements are generally permitted through the end of Week 3 of competitive league play. After Week 3, team rosters are considered locked. Exceptions may be approved by The Swing Refinery for circumstances such as injury, relocation, significant work or scheduling changes, or other situations where allowing a replacement reasonably preserves participation without compromising competitive integrity.
A permanent replacement must meet the eligibility requirement of the league, may not already be registered on another team in the same league and must establish or provide an appropriate TrackMan handicap before participating.
The Swing Refinery reserves the right to deny any roster change that could create an unfair competitive advantage.
9. Team Payment
League registration and payment are handled at the team level.
The team captain is responsible for submitting the full team registration fee in a single payment by the stated payment deadline. A team's spot is not considered fully secured until required payment has been received.
Teammates are responsible for arranging payment of their respective shares between themselves. The Swing Refinery does not collect, divide, reimburse, or otherwise administer individual portions of a team fee.
10. Team Withdrawal & Refund Policy
If one player withdraws before the season begins, the remaining player may secure an eligible replacement and retain the team's registration. The Swing Refinery may also make reasonable efforts to help connect the player with an available replacement but cannot guarantee that a replacement will be found.
If no replacement is secured and the team withdraws, the entire team registration is considered cancelled.
Refund eligibility is based on the full team registration fee and the league's scheduled start date:
-
15 or more days before the league start date: 100% refund
-
8–14 days before the league start date: 50% refund
-
7 days or fewer before the league start date: No refund
Any applicable refund will be returned to the original payment method. Arrangements between teammates regarding their individual portions of a refund are the responsibility of the players.
Teams joining or making payment after the standard full-refund cutoff will have 48 hours from the time of payment to cancel and receive a full refund. After that period, the standard refund schedule applies.
Once league play has begun, registration fees are non-refundable. Roster changes after the season begins are governed by the Permanent Roster Changes policy above.
If The Swing Refinery cancels a league, all team registration fees paid will be refunded in full.
11. Prize Distribution, Standings & Season Awards
Season-ending prizes recognize competitive performance throughout the league, with awards varying by league session.
Team Awards
-
Prizes will be awarded to the top three teams in the final season standings.
-
Team standings are determined by total Stableford points earned across all nine weeks of competitive league play.
-
The team with the highest total finishes first, followed by the second-highest and third-highest totals.
-
If both players miss a competitive week, each player will receive a gross score of double par on every scheduled hole, resulting in zero Stableford points for the team for that week.
-
If a team starts late and misses one or more holes, each player will receive double par on each missed hole, resulting in zero Stableford points for those holes.
Team Standings Tie-Breakers
If two or more teams finish with the same total Stableford points, ties will be broken in the following order:
-
Compare each tied team’s highest single-week Stableford score. The higher score wins the tie.
-
If still tied, compare the teams’ second-highest weekly Stableford scores, continuing from highest to lowest until the tie is broken.
-
If all nine weekly Stableford scores are equal, compare results beginning with Week 9, then Week 8, continuing backward until the tie is broken.
-
If the teams remain tied, a three-hole Best Ball Stableford playoff will determine the higher finishing position.
-
If a playoff cannot reasonably be held, the applicable prize will be split equally between the tied teams.
If two teams tie for first place, the tie-breaker determines first and second place, and the team with the next-highest season total finishes third. The same procedure applies to any tie affecting second or third place.
Individual Low Gross Award
Men’s and Women’s league sessions also include an Individual Low Gross award. This award recognizes the player with the lowest combined gross score across their best seven of nine competitive rounds. The Individual Low Gross award is not part of Mixed league competition. Handicap Week is not included in the calculation.
-
Each player’s two highest weekly gross scores are excluded, and the remaining seven scores are combined to determine the season result.
-
If a player misses a competitive week, the player will receive double par on every scheduled hole: 6 on a par 3, 8 on a par 4 and 10 on a par 5.
-
If a player starts late and misses one or more holes, the player will receive double par on each missed hole.
-
A missed competitive week will be scored at double par on each scheduled hole for purposes of the Individual Low Gross competition: 6 on a par 3, 8 on a par 4 and 10 on a par 5.
-
An unfinished or picked-up hole will also be scored at double par.
-
Missed-week scores are applied hole-by-hole because the total par of each nine-hole course may vary.
-
A player who misses one or two competitive weeks may effectively use those scores as their two dropped rounds. If a player misses three or more weeks, at least one missed-week score will remain among their seven counting rounds.
Individual Low Gross Tie-Breakers
If two or more players finish with the same seven-round aggregate gross score, ties will be broken in the following order:
-
Compare each tied player’s lowest single-round gross score among their seven counting rounds.
-
If still tied, compare their second-lowest counting rounds, continuing from lowest to highest until the tie is broken.
-
If all seven counting scores are equal, compare the players’ gross scores beginning with Week 9, then Week 8, continuing backward until the tie is broken.
-
If the players remain tied, the applicable prize will be split equally.
Additional Prizes
The Swing Refinery may also award weekly prizes or recognize additional achievements throughout the season. Weekly prizes, if offered, will be announced during league play and do not affect season standings or season-ending awards.
Season prizes will be presented during the season-ending celebration.
12. Sportsmanship & Fair Play
All participants, substitutes, and roster replacements are expected to maintain a friendly, respectful, and sportsmanlike environment.
Players are expected to follow league rules and scoring procedures honestly and in the spirit of fair competition.
The Swing Refinery reserves the right to address conduct or competitive-integrity concerns and, when necessary, remove a participant from league play.
13. League Start Time & Pace of Play
League play begins promptly at the scheduled start time. Bays will be available approximately 30 minutes before league play for warm-up.
Teams that arrive late will join the round at the hole currently being played by their league group. Any holes missed due to a late arrival cannot be made up and will be scored at double par (zero Stableford points).
Teams have two hours to complete their nine-hole round. At the end of the two-hour league session, simulator play will end. Any holes not completed within the allotted time will be scored at double par (zero Stableford points).
Teams are responsible for maintaining an appropriate pace of play throughout the round. Late arrival does not extend the scheduled league session or the time available to complete nine holes.
14. Simulator or Technical Issues
If a simulator or technical malfunction affects league play, The Swing Refinery will determine an appropriate solution based on the circumstances.
This may include replaying a shot, assigning a reasonable score, restarting a hole or round, rescheduling play, or taking another reasonable action necessary to maintain fair competition.
All rulings related to technical issues are final and intended to keep league play fair and on schedule.
QUESTIONS?
A few things golfers usually want to know.
Do both teammates need to register? No. One player registers as the team captain and provides information for both players. Your partner will receive a separate email asking them to confirm their participation. Your team's preliminary registration is complete once your partner confirms.
Do we pay when we register? Not yet. Your initial registration reserves your team's interest in a specific league session. Once we confirm that your session has enough teams to move forward, we'll send the captain payment instructions. You'll have 72 hours to submit the full team payment and secure your spot.
Do I need an official handicap or GHIN? No. You don't need a GHIN or existing official handicap. Week 1 is Handicap Week and is used to establish or verify each player's TrackMan handicap. Competitive scoring begins in Week 2.
Do we need to be members of The Swing Refinery? No. TSR team leagues are open to members and non-members
What if one of us can't play one week? You can use an eligible substitute during competitive league play. Each registered player may use a substitute for up to two competitive weeks per season. At least one registered team member must play each week, and substitutes aren't permitted during Handicap Week.
What if we both have to miss a week? If neither registered player participates and your team cannot field an eligible substitute, your team receives no points for that week. Missed rounds cannot be made up and aren't eligible for refunds or credits.
What happens if one of us can't finish the season? A permanent roster replacement may be possible. Each team may request one permanent replacement per season, subject to TSR approval and the timing and eligibility requirements outlined in the Rules & Policies.
What if the session we want isn't available? Join the waitlist. Tell us which days and times work for you. It helps us understand demand and gives us a way to contact you if availability changes or another league session becomes possible.
Are there prizes? Yes. Season-ending prizes will be awarded to the top three teams based on final Stableford standings, along with an individual Low Gross award based on each player’s best 7 of 9 competitive rounds. We may also offer additional weekly prizes throughout the season.
